A guide for whānau
Signing mokopuna
in and out
A new way to record attendance.
The same care at every handover.
01 · Before we begin
What whānau
need to do
This page holds the attendance and collection procedure, daily instructions and answers to common questions.
The change is intended to reduce repeated attendance entry and support accurate records. Safe handovers remain essential, and kaimahi will continue maintaining the manual rollbook used for evacuations.
- Use your own PIN
Each person regularly dropping off or collecting mokopuna needs their own PIN and must be recorded in the enrolment information.
- Check your contact details
PINs will be sent to each person’s recorded email address and mobile number. Contact the Kaiwhakarite if your details need updating, you have not received your PIN or you need another way to receive it.
- Arrange regular collectors in advance
Email tari@tetokaahuru.nz with their name and contact information. The Kaiwhakarite will confirm the arrangement with you.
02 · At each visit

03 · Each month
Monthly Maramataka
Legal guardians recorded in Edge with verification authority will be prompted to review the previous month’s attendance.
Please check the whole record and correct errors or seek help before approving it.
Monthly verification is separate from today’s sign-in or sign-out.
04 · A little more detail
Your questions,
answered
Tap a question to read the answer. If you need a hand, please ask.
01When does electronic sign-in/out start?
Electronic sign-in and sign-out will begin on Monday, 2 November 2026. Please continue the current paper process until then.
02How do I sign my mokopuna in or out?
Use the tablet inside the wharekai:
- Select Tomo for arrival or Waiho for departure.
- Select Whānau.
- Enter your own PIN and tap Confirm.
- Check your name and the mokopuna information and selections.
- Complete the final Tomo or Waiho step.
If you are unsure whether the entry completed, ask for assistance rather than repeatedly entering it.
03Do I still need to speak with kaimahi?
Yes. Make direct contact with a kaimahi at arrival and collection. The electronic entry does not replace the handover.
When arriving, ensure a kaimahi has acknowledged receiving your mokopuna before you leave.
04Where do belongings go?
Place pouaka kai and water bottles on the kitchen counter. Give kope and other items to a Kaiako or Kaiāwhina. Collect your mokopuna’s belongings when leaving.
05How do I receive my PIN?
Your individual PIN will be sent to your recorded email address and mobile phone number.
If you have not received it, your details have changed, or you do not have email or mobile access, contact the Kaiwhakarite. The Kaiwhakarite can provide your PIN on request after checking your identity.
06Can we share a PIN within our whānau?
No. Each person must use their own PIN so the record identifies who actually dropped off or collected the mokopuna.
Different people can drop off and collect. Each uses their own PIN for the entry they make.
07What if I forget my PIN?
Contact the Kaiwhakarite or the kaimahi undertaking that role. Your identity will be checked before your own PIN is provided privately. Another person’s PIN cannot be shared with you.
08How do I add someone who regularly collects my mokopuna?
Email tari@tetokaahuru.nz with the person’s name and contact information.
The Kaiwhakarite will confirm the arrangement with you and update the enrolment and system information. Please arrange this before their first collection. An email request awaiting confirmation is not yet a completed change.
09What if someone unexpectedly needs to collect and has no PIN?
Contact the Kaiwhakarite on the kōhanga phone, 027 361 5090, and provide the person’s name and contact information.
The arrangement and the collector’s identity will be verified at pickup. A kaimahi will then sign the mokopuna out.
10What if only one of my mokopuna is arriving or leaving?
Check each name and the selections carefully. The entry must reflect only the mokopuna actually arriving or leaving.
If you are unsure how to make the correct selection, seek assistance before completing it.
11What if we leave for an appointment and return?
Sign your mokopuna out when leaving, sign them back in on return, and sign them out again at final collection.
Make direct contact with kaimahi at each handover so the manual rollbook can also be kept current.
12What if we arrive late?
Complete the usual Tomo entry and direct handover. Make sure a kaimahi knows your mokopuna has arrived so they can promptly update the manual evacuation roll.
13What if I forget an entry or notice an attendance error?
Whānau can amend attendance where an error has occurred. Use the amendment process for the earlier record rather than making a new entry that could record the wrong time.
For discrepancies, uncertainty or help with corrections, contact the Kaiwhakarite or the kaimahi undertaking that role, rather than Kaiako or Kaiāwhina.
14Can I use my own phone?
A QR code provides access to the sign-in tool on a personal device. However, the screen may not display effectively on every device.
If you cannot see or use it reliably, use the tablet or seek assistance. A personal-device entry still requires a direct handover with kaimahi.
15What happens during a system outage?
We return to the existing paper sign-in/out process, recording time in and time out.
Kaimahi continue maintaining the separate manual evacuation roll. The Kaiwhakarite reconciles the paper entries with Edge when the system is restored.
16What if someone else knows or has used my PIN?
Tell the Kaiwhakarite or the kaimahi undertaking that role promptly.
Under the advised system arrangement, a compromised PIN requires a full system reset and new PINs for all whānau. Please protect your PIN and use only your own.
17Who can approve monthly Maramataka?
Only legal guardians identified on the enrolment record and recorded in Edge with verification authority can verify month-end attendance.
Being authorised to collect a mokopuna does not automatically give someone authority to verify Maramataka.
18What do I do when Maramataka appears?
Review the previous month’s attendance for each relevant mokopuna. Scroll across to check the complete record.
Correct any errors through the supported process or ask the Kaiwhakarite for help. Select Submit and complete the applicable confirmation only when the information is correct.
You must still complete today’s Tomo or Waiho separately.
19Why do kaimahi still keep a manual rollbook?
The manual rollbook records the mokopuna physically present and is the required roll for evacuation procedures. Kaimahi maintain it before karakia and update it for late arrivals and other attendance movements.
Electronic sign-in/out provides attendance entries that the Kaiwhakarite checks and confirms in Edge.
20Which option do kaimahi use for their own mokopuna?
Select Whānau when signing your own mokopuna in or out.
21Who do I contact for help or to raise a concern?
Contact the Kaiwhakarite or the kaimahi undertaking that role:
Kōhanga phone: 027 361 5090
Email: tari@tetokaahuru.nz
Please raise personal collection arrangements, restrictions and sensitive concerns privately. The kōhanga’s complaints and resolution pathway under GOV-03 also remains available.
